Either way, someone must own access management, incident response, backups and the eventual move to another system.

Picture a small team comparing a storage appliance with its existing subscriptions. The quotes seem straightforward until someone asks: if our usual IT contact is away, who gets us back into the client folder? This is an illustrative scenario, not a client case study. It exposes a cost that rarely appears at the top of the quote: keeping the service usable.

Are you comparing equivalent storage services?

A NAS is a device that makes storage available over a network. Here, the alternative is a provider-operated cloud file service, such as the document collaboration services in Microsoft 365. “Cloud” is not a single product: a storage bucket, a collaborative workspace and a self-managed hosted system leave very different amounts of work to the customer.

A NAS need not be confined to the office. Synology documents synchronisation, external sharing and administration tools for Drive, for example. Those features still need suitable access controls, maintained equipment and a check of the chosen model’s limits. Equally, a cloud subscription does not hand every data-management decision to the provider.

Give both suppliers the same user count, data volumes, collaboration needs and recovery requirements. Comparing storage capacity alone hides the work that your team or IT partner will have to perform.

Which working patterns favour NAS or cloud?

Large files used mainly on site: a NAS can avoid repeated internet transfers if the local network and workstations can keep up. Test your own files rather than treating a product specification as a performance result.

A distributed team co-editing documents: a collaborative cloud service may make everyday work simpler. Check offline behaviour, file formats and sharing policies before moving.

A mixture of both: a hybrid setup can make sense if everyone knows where the authoritative copy lives. Otherwise, employees will choose between the local folder, the shared link and the email attachment for themselves.

If you are starting with an unused machine, our guide to turning an old PC into a NAS helps assess that option. Being able to build it is not, by itself, a reason to make the whole business depend on it.

Who remains responsible after setup?

The cloud provider runs its service, but your business still decides who may share which documents. Microsoft describes sharing controls at both organisation and SharePoint site level; where they differ, the more restrictive setting applies. Buying the subscription does not replace permissions planning.

With a NAS, your business or IT partner also maintains the appliance. In either model, assign the following jobs explicitly:

create, change and revoke access, including when someone leaves;

review external sharing and administrator privileges;

monitor alerts, available capacity and updates within your responsibility;

respond to an incident and reach the right support team;

test recovery and arrange a usable export.

Give each job an owner, a backup contact and an appropriate service commitment. “Our IT person handles it” is not enough if nobody knows what their contract includes.

How do you compare total cost fairly?

Ask for costs over the same period, such as three years. Do not compare bare hardware with a subscription that already includes collaboration services. First bring both proposals to a comparable scope.

NAS: hardware, disks, replacement, electricity, setup, administration, secure remote access and independent backup.

Cloud: the licences actually required, migration, administration, any additional protection needed, support and data exit.

Both: training, internal staff time, recovery tests and the consequences of an interruption.

Without comparable usage assumptions and service commitments, neither NAS nor cloud is universally cheaper. A low quote that leaves maintenance out of scope shifts the work elsewhere; it does not demonstrate a saving.

What should you prove before moving?

Start with a representative, non-sensitive project folder. Ask an office user, a remote colleague and, where relevant, an external partner to complete real tasks. Check that they find the correct version and have the intended permissions. Then remove a test user’s access and confirm that revocation works.

Test recovery separately. Cloud services can include restoration features: Microsoft documents OneDrive recovery options with conditions and limits. Their existence does not prove that your setup covers every failure scenario. The French data protection authority, CNIL, recommends regular backups, isolated copies and restoration tests. Our guide to resuming work after a NAS failure explains that acceptance check in more detail.

Finally, export a sample into another environment. Inspect the files, formats and work needed to recreate useful permissions. A download button is not evidence that a full migration will be straightforward.

Choose a service your business can sustain

Keep a NAS when local workloads justify it and a capable owner is responsible for operations. Favour a managed cloud service when distributed collaboration matters more and its terms meet your requirements. Choose a hybrid arrangement only when the division of data and responsibilities remains clear to the team.

Local storage is not automatically compliant or sovereign; cloud storage is not automatically beyond your control. For sensitive data, assess contracts, access, location, possible international transfers and the obligations specific to your business.

The Say Digital Framework turns that choice into a practical trial: start with the business problem, assign responsibilities, prototype on a pilot folder, test access and recovery, then roll out in stages. After the move, actual incidents, usage and costs determine what needs to change.

Deciding whether to keep your NAS, move to cloud storage or combine the two? Scope your storage decision with Say Digital: priority workloads, clear ownership, comparable proposals and a pilot before committing.

Sources

Documentation checked on 20 October 2026.
