You copy its details into Google Sheets, prepare a document in Google Docs, then send a confirmation. If your team already works in Google Workspace, do you really need another platform to connect those steps?

Google Apps Script often deserves to be your first choice for tailored automation built around Google. It runs on Google’s servers, uses JavaScript and lets Gmail, Sheets, Docs and Drive work together without a separate Apps Script subscription. Make becomes especially useful when the workflow crosses several applications and you want someone who does not write code to take over its day-to-day management.

The decision is not simply “free versus paid”. It depends on the applications involved, execution limits and who will take responsibility when something changes.

Google Apps Script: tailored automation close to your Google tools

Apps Script is Google’s development environment for automating tasks and extending its applications. You can add a menu in Sheets, process rows according to your business rules, fill a document or send an email. The code runs on Google’s infrastructure: you do not need to manage a server for these uses.

Its value becomes clear when a connector does not quite match the way you work. Do you need to group particular requests, select a template by customer or calculate a status using several columns? A script can express that logic directly. If a visual scenario needs numerous transformations to do the same job, a few well-documented functions may be easier to maintain.

Working this close to Google also avoids adding a platform just to move data between your files and inbox. It does not remove the need for access permissions or someone to maintain the code.

Apps Script is free to use, but your automation still has limits and maintenance costs

You do not pay a separate subscription to use Apps Script. That does not make a Google Workspace subscription, external services called by the script or the time spent building and maintaining it free.

Google imposes quotas and execution limits. They vary with factors including the account type and service: individual execution time, total trigger runtime, emails sent and service calls. Exceeding a limit can stop processing. Check the official Apps Script quotas for the account that will actually run the workflow rather than sizing your project around a figure quoted out of context.

Plan for your busiest day, not just a successful test. How many requests might arrive? What happens if execution stops after creating the document but before sending the confirmation? Useful automation needs a way to resume without creating two documents or sending the same message twice.

The same example: email → Sheets → document → confirmation

Consider an SME receiving service requests by email. It wants to record the details in Sheets, produce a job sheet from a template and confirm receipt to the customer. This example illustrates two ways to build the same workflow; it is not a measured customer deployment.

With Apps Script: keep processing inside Google

A scheduled trigger runs a script that searches Gmail for messages matching your criteria. Do not assume that a native Apps Script trigger fires whenever a new email arrives: in this example, the script checks the inbox periodically. Confirmation timing therefore depends on that schedule and execution constraints.

For each request, the script checks the message identifier, adds a row in Sheets, creates the job sheet from the Google Docs template and prepares the confirmation. You can store the document identifier and each step’s status in the row to help resume after an error.

This approach fits requests with a usable format and a team that has someone to maintain the script. A free-form email with an ambiguous address or missing date should go to a person for review rather than produce an apparently complete job sheet containing invented information.

With Make: make the steps visible and extend the workflow to other applications

A Make scenario can monitor messages, pass details to Google Sheets, create the document and send the confirmation. The logic appears as modules and paths. A manager who does not write code can more easily follow the workflow, provided they have learned to read the data being passed and understand errors.

For this same example, Make becomes more useful if the job sheet must also feed a CRM outside Google, notify a team in another tool or trigger a step in a business application with a suitable integration. Apps Script can call external APIs too, but you then take responsibility for more integration code.

A visual layout does not prevent duplicates by itself. Just as with the script, keep the request identifier, distinguish completed steps and plan how to resume when sending fails after the document has been created. If processing can overlap, also prevent two executions from picking up the same request at once: storing an identifier is not sufficient on its own.

If the main difficulty is the document itself, treat that as a separate choice. Our guide to automating PDFs with PDFMonkey, Make or n8n distinguishes generating a document from filling an existing PDF. The document engine and the tool connecting your applications solve different problems.

Apps Script, Make or hybrid: decision criteria

When Make earns its place as an additional platform

Lean towards Make when your main difficulty is moving information between several applications, with connections and branches that another person will need to understand. Its value lies as much in that handover as in getting the first scenario to run.

Make uses credits to account for usage. The budget depends on the modules executed, the data processed and how the scenario behaves: monitoring, branches, repeated processing and retries can affect consumption. Estimate the complete workflow using the Make credits documentation, then check the applicable offer before choosing a subscription. Counting incoming requests alone is not enough.

Plan failure paths as well. Make’s error-handling tools provide mechanisms to configure; they do not decide whether a request should be retried, corrected or handed to a colleague. Without a named owner, a visual scenario can become as difficult to take over as a forgotten script.

Before choosing, name the person who can fix the workflow

In Apps Script, an installable trigger runs under its creator’s account. That matters when an employee leaves or responsibilities change: sharing the file does not by itself transfer responsibility for the trigger. Document the execution account, permissions and recovery procedure. The installable trigger documentation explains this behaviour.

In Make, ask the same questions about application connections, scenario access and who receives alerts. For either tool, limit permissions to what the workflow needs and avoid leaving its only instructions in its creator’s head.

Before launch, test an incomplete request, an already processed request, denied document access and a failed confirmation email. Your team should be able to see what happened and decide which step to resume without blindly restarting the whole workflow.

Apps Script and Make can work in the same system

You do not have to give every step to the same tool. Apps Script can apply a business rule in Sheets or prepare a Google document; Make can handle exchanges with other applications. Combining them makes sense when it avoids rewriting logic that already works.

It does add a handover point to monitor. Define which tool holds the authoritative request status, which identifier passes between them and who reports an error. Otherwise, each side may assume the other has sent the confirmation.

If you are also considering hosting and control of a broader automation platform, our Make vs n8n comparison for SMEs covers that separate decision. For a workflow mostly inside Google, first check what Apps Script can already handle before widening your shortlist.

▶ No time to read?
