Yet your voice may leave your computer for transcription before you have even pressed Send. For a business, the first question is not how much time dictation might save. It is where the audio and the resulting text actually go.<\/p>\n<p>Handy offers an interesting answer. This free, MIT-licensed open-source desktop application can turn speech into text locally on macOS, Windows and Linux. It does not replace your email application or CRM. Instead, it provides another way to write in them, with an important distinction between local dictation and any additional processing you choose to enable.<\/p>\n<h2>What Handy does, and what it does not<\/h2>\n<p>The documented workflow is straightforward: activate a keyboard shortcut, speak, and let Handy transcribe your words and insert the result into the text field you are using. Depending on your settings, you hold the shortcut while recording or press once to start and again to stop. The speech recognition model runs on your computer.<\/p>\n<p>That does not, by itself, make Handy an assistant that carries out tasks. Saying \u201ccall this customer on Friday\u201d produces text; it does not automatically create a reminder. Transcription is not permission to send a sales reply: also check input automation settings, especially any option that simulates pressing Enter in the receiving application. This boundary is valuable: you can choose voice as an input method without giving software permission to contact a client or change a record.<\/p>\n<h2>Follow the data through three separate stages<\/h2>\n<p><strong>First, transcription.<\/strong> With a downloaded model and a local configuration, audio is processed on the computer. This is Handy\u2019s core proposition: speech recognition does not need a remote service for every dictation. You still need network access to download the application and model initially. Working offline does not mean that no connection is ever required.<\/p>\n<p><strong>Second, optional rewriting.<\/strong> Handy also supports configurable post-processing. If you choose a remote service, such as OpenAI or Groq, the text used for that rewriting is sent to that service. Audio may have been transcribed locally without the entire workflow remaining local. A rewriting option is therefore more than a cosmetic setting: it changes the route your data takes.<\/p>\n<p><strong>Third, the receiving application.<\/strong> Inserting text into a local document has different implications from pasting it into a hosted CRM or synchronised email application. Handy does not turn those applications into local software. To assess confidentiality, follow the full journey: microphone, transcription, any rewriting, then storage or sending inside the business application.<\/p>\n<h2>Four practical uses, without a productivity promise<\/h2>\n<p>The following are illustrative uses, not results from hands-on testing by SAY Digital. They help identify a sensible first trial rather than establish measured performance.<\/p>\n<ul>\n<li><strong>A follow-up email:<\/strong> dictate the main points after a conversation, then check names, dates and commitments before sending. Voice helps capture the message; it does not validate your commercial promises.<\/li>\n<li><strong>A personal note:<\/strong> record an idea or prepare for a meeting in a local file. This is an easier starting point to control than a shared customer record.<\/li>\n<li><strong>A CRM note:<\/strong> enter a summary into the intended field after checking that company policy allows that information in the CRM. Local dictation does not change the receiving service\u2019s rules.<\/li>\n<li><strong>A brief:<\/strong> explain the context, constraints and desired outcome aloud. You still need to organise the result and separate facts from assumptions before sharing it.<\/li>\n<\/ul>\n<p>A claimed percentage improvement is not the useful measure here, particularly without a controlled test. Look instead at whether the text is usable, how much correction it needs and whether you can explain where it was processed. An input tool that makes mistakes in amounts or names needs an appropriate review step.<\/p>\n<h2>Set up a first trial without opening unnecessary doors<\/h2>\n<p>Start by downloading Handy from its official website or published releases. Then choose a model suited to your language and computer. The catalogue contains several models with different language coverage and hardware requirements. French appears among the available language choices, but that is not a guarantee of accurate transcription for specialist terminology or mixed-language conversations.<\/p>\n<p>Allow for the initial download and local storage. Grant the permissions the application actually needs: microphone access to record, and, depending on the operating system, accessibility or input permissions to insert text into another application. On Linux, global shortcuts and text insertion can require extra configuration, particularly under Wayland. Cross-platform availability does not mean an identical setup everywhere.<\/p>\n<p>For the first trial, keep remote rewriting disabled and dictate non-sensitive content into a local note. Check the microphone selection, destination field and recognition quality in your working language. Do not use confidential information to discover how clipboard insertion or transcription history behaves.<\/p>\n<h2>Write the team rule before rolling it out<\/h2>\n<p>A short rule can give a pilot clear boundaries: local dictation is allowed for selected documents; remote rewriting requires approval; review is mandatory before sending anything. Add the excluded data categories and approved destination applications. This prevents each employee from independently deciding what \u201cprivate\u201d means.<\/p>\n<p>Also examine what remains on the computer, including transcription history, any retained files and clipboard content, depending on the version and settings. Local processing removes one network journey; it does not replace device protection or retention rules. The MIT licence allows the code to be examined and adapted, but it is not a security or compliance certification.<\/p>\n<p>Keep responsibility for the final text explicit. The employee who dictates a note should still check that it belongs in the selected record, that its meaning is accurate and that no unintended recipient can access it. These are ordinary information-handling decisions, not problems that a transcription model can settle for the business.<\/p>\n<h2>Choose based on the data route, not the AI label<\/h2>\n<p>Handy is worth evaluating when your need is to write by voice while keeping speech recognition on your own computer. It is a less suitable starting point if you expect a complete business process to run automatically, or perfect compatibility with every application without configuration.<\/p>\n<p>Before expanding the pilot, keep three questions visible. Does the selected model transcribe locally? Does any enabled option send the text elsewhere? Where will the result be stored or sent? If the team can answer those questions, it can make a concrete decision.
